Setup Assistant

The Setup Assistant is a pre-configured AI assistant built into the AI Complete Suite that lets system administrators set up and manage the entire AI suite through natural conversation — no menu navigation required.

🤖 What It Is

Instead of going through Settings menus to manually create assistants, configure contexts, link data sources, and write automation rules, you can describe what you need in plain language and the Setup Assistant handles the creation for you.

It is only visible to system administrators. Other users in Discuss will not see it.

🚀 How to Access

  1. Open Discuss in Odoo
  2. Find Setup Assistant in the direct messages sidebar
  3. Start a conversation — describe what you want to set up

Understanding the AI suite

Explain how the building blocks fit together — what AI configs, assistants, contexts, and data sources are, and how they connect to each other.

Creating AI assistants

Describe the purpose, the intended audience, and which AI provider to use. The assistant will ask the right questions, then create it.

Creating AI contexts

Add or update the behavioral instructions attached to an assistant — what it should know, how it should respond, and when to load extra reference material.

Setting up data sources

Create a knowledge base from Odoo records, a website, or freeform text, then link it to an assistant with the right access permissions.

Building automation rules

Set up a rule that watches for something to happen on a record — a new lead created, a stage change, a message received — and runs an AI action in response.

Creating recurring scheduled actions

Set up a job that runs an AI task on a fixed schedule — every morning, every week, every hour — to handle periodic reviews, batch processing, or regular follow-ups.

Troubleshooting

If an automation rule or scheduled action is not behaving as expected, the Setup Assistant can investigate by checking the rule configuration and looking up past runs.

⚙️ How It Works

The Setup Assistant follows a careful confirmation protocol before making any changes:

  1. It gathers all the details it needs, asking clarifying questions if anything is unclear
  2. It shows you a complete summary of every record it will create, with all the values it plans to set
  3. It asks for your confirmation before doing anything
  4. Once you approve, it creates the records and gives you direct links to open them

This means you always know exactly what will happen before it happens.

⚠️ What It Cannot Do

Set up AI provider connections — Connecting to ChatGPT, Claude, or Gemini requires entering an API key. The Setup Assistant cannot do this on your behalf. You must go to Settings → Technical → AI → Configurations and create the connection yourself first.

Trigger indexing for data sources — After creating a data source from Odoo records or a website, the content needs to be indexed before the assistant can search it. Indexing must be triggered manually: open the data source record in Settings → Technical → AI → Data Sources and click Index. Text data sources are ready immediately without this step.

💡 Tips

Give it enough detail upfront — The more context you provide in your first message (purpose, audience, which records to watch, how often to run), the fewer follow-up questions it needs to ask.

One task at a time — It is cleaner to set up one assistant or one automation rule per conversation. Combining multiple unrelated requests in a single message increases the chance of missing a detail.

After automation rules fire — AI actions from automation rules run in the background after a record is saved. Results may take a few seconds to a few minutes to appear. If you do not see the result right away, wait a moment and check the record again.
